Responsibilities

Parlegal / Contract Administrator

Overview:

Pico Quantitative Trading is interested in hiring a well-organized and responsible professional to assume a position as Paralegal/ Contracts Administrator/Legal Assistant within its Legal Department.

Role: The role will encompass two main areas of contract practice:

  1. Contract Administration: administration of signatory process; and
  2. Contract Management: the management, organization and storage of company documentation.

The Contracts Administrator shall perform the following responsibilities:  Work and collaborate with the Legal Department and Sales/Account Management; maintaining contractual documentation and ensuring compliance with company policies and procedures, as well as providing ongoing assistance internally in the administration of contractual agreements, including management of the contract signatory process. This includes maintaining contract files and records; preparing status reports; and addressing basic contract inquiries.

Other responsibilities will include assisting the General Counsel with maintaining and processing outside counsel invoices. The Candidate may also be asked to provide ad hoc administrative support to the Legal Department.

Key Responsibilities:

  • Performing certain due diligence related to clients and vendors, including AML verification checks
  • Developing and implementing organizational and management processes and procedures for consistent production and storage of company agreements, including assisting with the implementation of technology based solutions to create a contracts database.

  • Minimum 5 years of experience as a commercial contract paralegal or contract administration, with experience interfacing with clients and working with attorneys.
  • Preferred Associates Degree or Higher, with course work in Business Administration, Accounting, Procurement, Law and/or Finance.
  • Experience with contract management tools, templates, methods and processes.
  • Experience reviewing, digesting and summarizing legal agreement terms
  • Experience working at a law firm and/or in-house legal department.

Overview

Pico is looking to fill a Project Manager (PM) / Business Analyst (BA) position. The PM /BA will work closely with clients and/or teams across the firm to assess and document requirements, construct high-level project plans / proposals, coordinate delivery and communicate status of various initiatives. The PM /BA will be expected to become a Subject Matter Expert on any project to which they are assigned, and will be the point of contact for status, timelines, and risk factors of their projects to management and clients.

Responsibilities

  • Participate in requirements-gathering sessions with clients and/or Pico internal teams and document decisions / action items
  • Translate complicated concepts into clear documentation for a general audience
  • Create and maintain project plans and manage projects through to implementation, with regular communication to clients / vendors / management via status meetings, emails, etc.
  • Interface with technical teams to coordinate resourcing and produce detailed project plans
  • Evaluate all key project deliverables, as well as final product, to ensure traceability of requirements, high quality and customer acceptance
  • PM /BA may also be asked to perform other tasks such as product research, sales presentations, software testing, vendor assessment/liaison, etc.
  • Able to appropriately set expectations to both internal and external stakeholders
  • Effectively navigate the organization to deliver each component of complex projects while holding internal resources accountable for their deliverables
  • Lead regular calls with the clients to update them of delivery progress
